We’re going to be discussing another feature from Dubsado and that is the to-do feature. This is one of the features that I think is least talked about. It is one of the less glorified features of Dubsado because we hear so many things about all of the robust features (like what the workflows can do) but to-dos are one of the things that we can add into these workflows. A lot of times these to-do features are overlooked because it might actually be a manual step or something outside of the workflow, but a lot of times that’s how our real-life workflows may look.
It’s not that every single thing that we want to happen can possibly happen automated within workflows in Dubsado. So having these to-do options available within a workflow is super key to not missing steps just because it’s not going to inherently happen within Dubsado. (psst: don’t have Dubsado yet? It’s not like it’s just this huge robust feature that we can spend all day talking about. But it’s cool because when you actually create a to-do within the workflow, assign it to a team member and have it actually email that task to the team member so that the team member knows they have something waiting for them that needs to be done. That’s really beneficial.
Some people complain that when there are a lot of tasks or to-do’s coming through, it clogs up the inbox. What you could do instead (this is a step outside of Dubsado), is then go into your inbox, set up a filter so that anything with that specific to-do title coming from Dubsado is going to skip the main inbox and go into a specific label as a task. Then you can revisit it as needed rather than it clogging up the inbox and stressing you out. Your team members can do the same process in their inboxes.
Use this workaround to not overload your main inbox, but don’t forget to check and complete those to-do’s as they come in.
You can structure the to-do email reminders with rich text formatting. We’ve seen some really cool examples of how people have done that. They’ve almost used them like tutorials so that whoever is assigned to the to-do will not have to go looking for examples or directions on what to do. Maybe you already have an idea of what needs to be done or what this can look like for your business.
You can hyperlink it directly into the to-do task email reminder you set up, or you can use the rich text formatting to actually put step one, step two, and so on, and have a brief section of instructions for what needs to be done for that task. This way, nobody has to go digging anywhere else to figure out what needs to happen. That is something that we particularly love.
You could even set up another automation so that it is then connected to your project management tool, like ClickUp for instance. Now it’s going around the world to do it, but once you send that email reminder to go to the team member’s inbox, you can actually set up an automation so that when something with that title comes into your inbox, it then adds that as a task into your project management tool. Pretty cool, right?! We love how Dubsado and ClickUp integrate together with Zapier.
Then it actually is part of the project management rather than just getting lost in the inbox. But be sure to use that rich text formatting because it really makes it where that email you receive is not just like, “what is this task about? Huh? Who is this for?”
You can use the smart fields within Dubsado and have the exact same instruction in the email, so there is no confusion about what needs to be done.
