Don’t waste your time getting on a call with a new lead that isn’t prepared to work with you.
Welcome back to We Make Systems Sexy! Today we’re going to be talking about Dubsado, specifically about Dubsado’s lead capture forms.
Thinking about Dubsado’s lead capture forms, if you’re not using them, you should start, especially if you’re a service based business, and you need to have a project date or a start date (where you’re providing an actual service), having that lead capture form is gold, because you’re actually gathering that information about that client about their projected start date, what product, what service they are actually interested in, and all of that good stuff right from the outset.
It is a wonderful tool to be able to have that lead capture form and start off that client journey using that form. Using that form means that you’re not going to waste time on trying to gather information through emails and wait for that back and forth. And then you have that long string of emails and it takes time trying to find that information later. Instead, with a lead capture form, you have it all in one place. Dubsado’s lead capture form is really cool, too, because something that I like about it specifically is that you can even have the option to add a question that when they answer it, their answer actually will kick off a certain workflow.
I like that feature because, for example, I had a client that if the place was a historical plantation, she wouldn’t work with them. So if their answer was yes to that question, then this actual workflow would be able to kick off and say, “Oh, they answered, Yes. So we’re going to send them an email saying, we’re not a good fit. Here are some other places I recommend, etc.”
Or maybe you have an 8 week waitlist to working with you, and you ask, “Are you prepared to wait 8 weeks?” with Dubsado’s lead capture workflow feature, you’re not going to waste your time getting on a call with somebody that needs a 2-week turnaround because they’ve already told you within your lead capture form that they’re not prepared to wait on your waitlist for that amount of time. And so you can then also just set up that workflow to send them, we’re not a good fit email.
That’s just one example of something specific that I like within Dubsado’s lead capture form. So when somebody fills out my lead capture form, for example, I gather all their information because those are actually required fields and then it actually kicks off a new project within Dubsado. Once it does that, my particular workflow sends my scheduler and does all that good stuff. But I’ve already got their information right there within the new project that was created in Dubsado. This way, if I have questions about what service they’re interested in, or any additional notes like their website, their email, address, or other details, I’ve got it all ready, right at my fingertips and I don’t have to go back and forth and send my scheduler and etc.
I have my lead capture form embedded directly onto my website. I do not have my scheduler where anyone can just book a call with me, they have to give me their information first by using the lead capture form, and then they get my scheduler. I also have added my lead capture form link in my actual Facebook cover photo inside the description or caption, as well as on my profile picture caption. Also, my link tree on my Instagram account. If somebody wants to book a call, they can go to any of those places, and it’s going to direct them straight to my lead capture form. I can also just share my lead capture form link directly with people if we’ve already been chatting in the DM’s. So yes, you can share the link or you can embed it on your website, there are many ways that you can share that lead capture form.
Creating a lead capture form within Dubsado is not complicated. When you’re logged into your Dubsado account, you go under ‘templates and forms’. It’s right there – super easy! And it’s very simple to add in the specific fields that you want on your lead capture. It can even be branded specifically to your brand: You can add your logo at the top, you can add images, you can make it pretty, you can make it simple, however you want it to look, especially if you want it to really flow with your website because you’re embedding it on your website, and you want good continuity. It’s very possible to continue that brand theme just the way that you’re able to brand a lot of the other forms within Dubsado.
You could do the same thing with the lead capture form and it’s not just a basic checklist kind of form. It can actually be prettified with some elements that you definitely need to have on your lead capture form. Keep in mind, in order for it to actually create a new project within Dubsado the lead capture form needs to require their first and last name as well as their email address. Some things that I like to ask specifically for my business is their revenue brackets, which service they’re actually interested in, how they found me, and if they have a referral, and then anything else that they’d like to tell me. So those details are really important for the work that I do, especially before having a long conversation with somebody and then realizing, you know what, this wasn’t a good fit, or I don’t offer that service, etc. I’ve already got all that information at the outset.
When a new lead fills out your lead capture form, some of the back end settings can be connected to a workflow, which is really nice. That’s exactly how my scheduler is then sent out, and the project status is changed. You can build out that workflow and then connect it to the back end of the lead capture form. Then just watch things take place on autopilot on the back end without you having to touch them and you can even add a thank you message. Even though it’s automated, it can still be personalized. If you want to say something specific about the timeline and response time or as mentioned, send a ‘Thank You, we’ll see you soon’, or something like that, you can customize that thank you message.
Another option is you can even use a redirect URL, especially if you have a specific thank you page already built out, or a different offer in your funnel you want to direct them to that’s very possible as well. You can even specify what you want the project status to be once the new lead fills out that lead capture form. Mine is very simple: I have it just set to be a new lead because it is for me. But it just depends on what your business model is. And you can even assign these new leads to a specific team member that is also an admin or user in your Dubsado account so if that person is responsible for the new leads coming in, you can assign it specifically to them.
